Week 1 · Discovery

We watch how your ops actually runs.

Not how the org chart says it runs — how it actually runs. Where messages pile up. Which calls go unanswered after 5pm. Which store manager keeps their own spreadsheet because the system doesn’t do what they need. We map the leaks before we build anything.

  • A working session with your ops lead and a store manager or two.
  • An audit of your current tools — the group texts, the sticky notes, the chatbot you turned off.
  • A shortlist of where AI moves the needle first, ranked by effort and payoff.

Week 2 · Design

We map the agents you need against the tools you have.

No rip-outs. Your POS stays. Your CRM stays. We design an operating layer that sits on top of what you already run and connects it — then decide together which agents to build, in what order, and what each one is allowed to do on its own.

  • An integration map: what connects to what, and where the data lives.
  • Guardrails defined up front — what each agent handles alone, what it escalates.
  • A phased rollout plan, so nothing goes live before it’s ready.

Week 3–5 · Implementation

We build, wire, and train on your data.

Every agent is trained on your voice — past messages, current playbooks, brand guidelines. You approve every checkpoint. Before anything talks to a customer, you’ve read what it would say and signed off on the tone.

Week 6 · Launch

Per-location or all at once.

Some operators want one store live first, to watch it work. Others go all-in. Either way, every voice is signed off by you before it goes out, and we’re on the other end of it — watching the first weeks closely and tuning as real conversations come in.

  • A soft-launch window where drafts are held and reviewed more tightly.
  • Confidence thresholds loosen as the agent proves itself on your traffic — and every proposed improvement is split-tested before it becomes the new normal.
  • A named human on our side for the whole ramp — not a ticket queue.
The operating model

This is the loop that runs every day after launch. Routine work clears itself. Anything sensitive stops and waits for a human. Every edit you make becomes tomorrow’s lesson — so the queue of things needing you shrinks over time, it doesn’t grow. And when the loop finds a better approach, it runs as a split test against the current agent — promoted only when the numbers win.
